Danske Fragtmænd, a leading logistics and distribution company, faced significant challenges with their extensive print infrastructure. Managing approximately 400 printers across various hubs had become increasingly inefficient and costly. As their printing needs began to decline, they decided to seek a smarter solution.

Diving into the current infrastructure

One issue Danske Fragtmænd encountered was that their current print setup was becoming outdated. This led Henrik Schulz, Procurement Consultant at Danske Fragtmænd, to explore the solutions available on the market.

"Our printing needs have changed significantly over the past few years, and we don't print as much as before. Especially the younger generation prints less. As our previous solution became outdated, we needed to look for new options," Schulz explains.

In partnership with Adam Knox, Business Relationship Manager at Egiss, we conducted a comprehensive assessment of Danske Fragtmænd’s current print setup and the challenges they faced.

This led to centralising printers in the office rather than having printers at each workstation. We also identified the need to distinguish between office printers and production printers. Combining this with optimising the current Papercut system reduced the printer fleet from 38 to 27 units in the offices.

"We relocated some of the former office printers to our warehouses and sent the others for recycling." Schulz adds.

The significant reduction in printers was made possible by switching from push-printing to pull-printing. This allows employees to retrieve their prints from the nearest available printer, rather than being restricted to a specific one.

Smooth transition with a soft launch

Making such a drastic change in a company historically dependent on printing is no small task. To ensure a smooth transition, we started by rolling out the new printing infrastructure at two smaller locations.

By doing so, we could address any minor issues that arose at the beginning of the rollout. Once the initial "teething problems" were resolved, we extended the rollout across the remaining 10 locations.

Switching to a more efficient financial solution

Not only did we optimise the print setup at Danske Fragtmænd, but we also improved the financial model. Previously, Danske Fragtmænd was charged based on ink usage and other variables. This led to poor financial oversight and created an extraordinary amount of work for the accounting department, which had to process all these invoices.

Instead, they switched to a Managed Print Services (MPS) model with monthly billing. This provides better financial oversight and forecasting for Danske Fragtmænd and saves several hours of administrative work.

Through this collaboration, we provided Danske Fragtmænd with a robust and efficient print infrastructure that is geared for their future needs. It has led to higher efficiency, better financial oversight, and enhanced environmental sustainability.
